CRM Module Overview

The CRM module enables sales process management through tracking contacts, sales inquiries (deals) and activities. The system supports pipeline management with defined stages of the sales process from initial inquiry to deal closure.

The CRM module is available to users with an active CRM license and administrator rights.

Contacts

Contacts are people or companies you communicate with in the sales process. For contact management:

  • Contact Overview — list of all CRM contacts with search and filtering capabilities.
  • Adding a Contact — click the button to create a new contact and enter details (name, company, contact information).
  • Editing — open an existing contact to modify details.
  • Deleting — a contact can be deleted if not linked to active deals.

Contacts can be linked to one or more sales inquiries.

Sales Inquiries (Deals) and Pipeline

Sales inquiries go through defined stages (pipeline):

  1. New — initial stage, the inquiry has just been received.
  2. Research — analysis of customer needs and information gathering.
  3. Proposal — creating and sending a quote to the customer.
  4. Negotiation — aligning terms and prices.
  5. Completed — the deal is closed (successfully or unsuccessfully).

The stage can be changed by dragging the deal across the pipeline view or by manual selection. Each deal has a priority (low, medium, high) that helps with work organization.

Deal Activities

Activities record all interactions related to a sales inquiry:

  • Adding an Activity — enter a message describing the activity (call, meeting, email, note).
  • Linking Items — you can link one or more items from the system to an activity by searching by name or reference code.
  • Notifications — when creating a new deal and adding activities, email notifications are sent to responsible users.

All activities are displayed chronologically on the deal page, providing a complete communication overview.

Statuses and Views

The system supports the following deal statuses:

  • Open — the deal is active and in progress.
  • Closed - Won — the sale was completed.
  • Closed - Lost — the deal did not result in a sale.
  • Deleted — the deal is removed (soft delete, remains in archive).

Separate views are available: active deals, closed deals and deleted deals. Deleting a deal does not permanently remove data, but moves it to the deleted deals view.

Usage Tips

  • Regularly update the deal stage to keep the pipeline view accurate.
  • Use priorities to highlight important deals.
  • Record every customer interaction as an activity — this ensures a complete communication history.
  • Link contacts to deals to have an overview of all inquiries per client.
  • Close deals with the correct status (won/lost) for accurate sales statistics.
