Service module – overview

The service module covers the complete workflow of a service workshop: from registering vehicles and setting up working hours, through vehicle reception and work orders, to issuing quotes and invoices. The module is designed for auto service shops, body shops, PDR workshops, mobile device repair (GSM), tire shops, auto electricians and similar businesses.

The service module requires the Business package and must be enabled via Options → General settings → Service module. Without activation, the module is not visible in the main menu.

Deep-dive articles:

  • PDR – damage assessment and pricebook types – full explanation of all 4 PDR pricebook types (normative, fixed, variable rate, per-dent), the size × dent-count matrix, modifiers, and transferring damages to work orders.
  • Online bookings – public booking page, working hours and slot configuration, confirming bookings and converting them into service receptions.

Workflow – from first contact to invoice

The typical lifecycle of a single service in the system looks like this:

  1. Booking / Reservation — the customer books an appointment (via the public booking page, by phone, or by walking in). The system creates a document of type REZ (Reservation).
  2. Vehicle reception (SV) — the vehicle arrives at the service at the agreed time. With a single click, the reservation is converted into an SV (Service) document with all data pre-filled.
  3. Assessment and problem description — the mechanic records mileage, fuel level, work description, photos of the vehicle and damages, and vehicle documents.
  4. Work orders and items — based on the selected service type, the system automatically adds normative items (labor + parts). Items can be added, changed, or removed manually.
  5. Quote (optional) — if the service requires customer approval, a quote is generated from the reception and sent to the customer. The service status becomes Awaiting approval.
  6. Performing the work — the mechanic changes the status to Work in progress, and to Work completed when finished.
  7. Invoicing — an invoice is generated from the work order (fiscalized automatically if fiscalization is enabled).
  8. Completion — the service is closed with the Finished status, and the customer is notified that the vehicle is ready.
All steps can be skipped or combined – a simple "oil change" can go directly from reception to invoice in 30 seconds, while a complex body repair goes through the full cycle with quotes, approvals, and multiple work orders.

Service settings

All module settings are located under Options → Service settings. Settings are per business unit – each unit can have its own working hours, slot duration, and industry type.

SettingDescriptionValuesNote
Service type (industry) Determines which forms and fields are available in the module. Vehicles shows vehicle, make, model, VIN, mileage. Mobile devices shows GSM fields (IMEI, phone model). Generic shows a generic form for any service activity. Vehicles / Mobile devices / Generic Default: Generic
Slot duration (min) Base duration of a single slot in the calendar. Used when generating free slots in the booking module and when manually selecting an appointment from a reception. Number of minutes (e.g., 15, 30, 60) Default: 30 min
Lunch break Time range during which no free slots are generated in the calendar. Format HH:MM-HH:MM, e.g., 12:00-13:00 Empty = no break
Auto-add to calendar Every new vehicle reception is automatically added as a calendar event, without a manual click. yes / no Recommended: yes
Use service locations Enables multi-location work – one business unit can have multiple physical service locations (two garages, mobile services, different work stations) with their own working hours. yes / no Max. 20 locations per business unit
Working hours Defined in the main General settings (Business unit working hours) and automatically used by the service module to generate free slots. JSON per day of the week If not set, the slot system is inactive
Important: If you change the industry from Vehicles to Generic after you have already created vehicles and receptions, old vehicles remain in the database but will not be visible in new forms. Recommendation: set the industry before entering any data.

Service locations

If you have enabled Use service locations, you can define up to 20 physical locations per business unit under Options → Service locations. Each location has:

FieldDescription
NameInternal name of the location (e.g., "Split – City Center", "Garage 2", "Mobile service").
AddressStreet and town – shown to the customer in the online booking.
CityCity where the location is based.
Google Maps URLLink to Google Maps – the customer can open it for navigation.
Contact phonePhone number the customer can call for a specific location.
Sort orderNumber that determines the order in dropdown menus.
ActiveInactive locations are not shown in new receptions, but historical data remains.
Each location can have its own booking configuration – different working hours, different number of parallel slots, different breaks. This is useful, for example, if the main workshop works 08:00-16:00 while the mobile service works 10:00-18:00.

Deleting a location: A location cannot be deleted if any vehicle reception is linked to it. In that case, set the location to inactive, which hides it from new entries while preserving history intact.

Vehicles – master data

A vehicle (Options → Vehicles or directly from a reception) is the central entity of the service module. One vehicle has one owner (client) and an unlimited number of receptions over its lifetime.

Vehicle fields
FieldDescriptionNote
OwnerClient from the customer database. When creating a reception, the paying customer can be different from the vehicle owner (e.g., a leasing company).Required
MakeManufacturer (BMW, Mercedes, VW…). If the make does not exist, it can be added from the form.Required
ModelModel within a make (3 Series, Golf…). Models are tied to the make.Required
Body typeVehicle body type (sedan, SUV, van, motorcycle, truck…). Used in PDR for panel layout.
License plateRegistration plate. Automatically stored in uppercase without spaces. At least one of: plate or VIN
Chassis (VIN)17-character VIN. Must be unique in the database. Automatically stored in uppercase. At least one of: plate or VIN
Manufacturing yearYear of manufacture.
First registrationFirst registration date (important for age and warranty assessment).
Engine power (kW)Power in kilowatts.
Engine volumeDisplacement (cc).
Fuel typePetrol / Diesel / LPG / CNG / Electric / Hybrid.
TransmissionAutomatic / Manual / Semi-automatic.
Color / color codeVehicle color code (useful in body shops and PDR).
Doors / seatsBasic vehicle dimensions.
Additional equipmentFree-text field for notes (e.g., "panoramic roof", "LED headlights…").
AI recognition: License plate and VIN fields support scanning from a photo – open the camera, take a picture of the registration document, and the system automatically recognizes the VIN and license plate.
Minimum rule: A vehicle must have either a VIN or a license plate. Vehicles without both are not allowed.
Temporary vehicle data on reception

For a quick reception (e.g., an unknown client coming for a one-off car wash), you do not need to create a full vehicle record. The reception has temporary fields (plate, make, model, VIN) stored directly on the document. When the client becomes a regular, you can create a real vehicle record from those fields with a single click and link the client.

Service types and norms

Service types (Options → Service types) are templates that speed up reception. Instead of typing items manually every time, you define "Regular service – oil change" once, and when selected at reception, all items are added automatically.

Service type fields
FieldDescription
NameShort name (e.g., "Regular service 15,000 km", "Brake pad replacement").
DescriptionDetailed description of what the service covers – shown in the reception and on the quote.
Billing categoryDetermines how the service is financially treated – see table below.
Workflow typeDetermines which interface is shown – see table below.
Duration (min)How long a typical service like this takes. Used to block slots in the calendar (if 60 min starting at 09:00, the 09:30 slot will also be blocked).
Primary technicianThe employee automatically assigned when this service type is selected.
PriorityLow / Medium / High – color and ordering in lists.
Reservation color / Service colorHex colors used in the calendar (one for reservations, one for active services).
Sort orderNumber for sorting in the dropdown.
ActiveInactive types are not shown in receptions, but history remains.
Billing categories

The billing category determines who pays for the service and how it is displayed in reports:

CategoryDescriptionCharged to customer
Regular (Customer)Standard service paid by the end customer.Yes
Warranty (Manufacturer)Service under warranty – cost goes to the manufacturer, not the customer. Prices are shown struck-through in the UI.No (tracked internally for reimbursement)
Insurance (Claim)Body repair from an insurance claim. Linked with insurer data, policy and claim number.Depends on policy / deductible
Internal (Own cost)Work on the company's own vehicle or a test vehicle – not charged, only for cost tracking. No
GoodwillFree repair out of goodwill or as a courtesy to a regular client. No
Service campaign / RecallManufacturer recall or service campaign. No (manufacturer)
Workflow types
WorkflowWhat it changes in the interface
General processStandard reception: items, labor, parts, quote, invoice. Default for most services.
PDR repair (Photos + Assessment)Unlocks the PDR module: mapping panels on the car image, entering dent size, dent counts, applying a PDR pricebook. Explained in detail in a separate article PDR – damage assessment and pricebooks.
Vehicle diagnosticsDiagnostic interface with dedicated fields and workflow (diagnostic report).
Factory recallInterface for manufacturer actions with fields for action number and recall type.
Category and workflow are independent. For example, a PDR repair can be Insurance (customer had an accident, insurer pays) or Regular (customer pays out of pocket). Combine them as needed.
Norms – the service "recipe"

For each service type, you can define norms – a list of items (labor, parts, consumables) that are automatically added to a reception when the service type is selected.

Example: "Regular service – oil change"

  • Service: Mechanic labor (norm) × 0.50 hours
  • Item: Motor oil 5W-30 × 5 liters
  • Item: Oil filter OE-4152 × 1 piece
  • Item: Drain plug gasket × 1 piece

When the mechanic selects that service type at reception, all four items are automatically added to the work order with prices from the item pricelist. The mechanic can manually increase/decrease quantities, add more items, or remove them.

A norm uses the current item selling prices at the moment the work order is created. If you later change an item price, existing work orders and invoices are not updated – they keep the old prices.

Vehicle reception – the document

The vehicle reception is the central document of the service module. All work orders, quotes, images, documents, and conversations are linked to a single reception.

Two document types
TypePrefixWhen used
ReservationREZ-The customer has only booked an appointment, the vehicle has not arrived yet. The document is shown in the calendar. With one click, a reservation becomes a service reception.
ServiceSV-The vehicle has physically arrived at the service. Mileage, photos, work items are now being entered.

Each document has its own yearly counter per business unit – e.g., SV-00001/2026 is the first service reception of 2026 in that unit.

Reception fields
FieldDescription
Date and timeReception date. If the slot system is active, time is chosen from the list of free slots.
VehicleSelected from the database or entered as temporary data.
ClientService payer – can differ from the vehicle owner (e.g., a leasing company).
Client branchFor clients with multiple branches, selection of the specific billing branch.
Service typeSelected from predefined types. Affects duration, calendar color, and automatic norm items.
TechnicianAssigned employee (can be changed).
Service locationIf locations are enabled, selection of the specific location.
MileageVehicle odometer reading at reception.
Registration valid untilRegistration expiration date – useful for reminders.
Work descriptionText description of the problem or requested work (what the customer asks for).
Duration (min)Overrides the default duration from the service type. E.g., a standard service is 60 min, but this particular one will take 180 min because a part is being waited on.
PriorityLow / Medium / High – highlighted with color in lists and the calendar.
Add to calendarCreates a calendar event (or is created automatically if enabled in settings).
Insurance fields

If the billing category is Insurance, additional fields are unlocked:

  • Insurance company – the client who is the insurer.
  • Insurance branch – the local branch.
  • Policy number – insurance policy.
  • Claim number – internal claim number.

These fields are automatically pulled into the quote and invoice issued to the insurance company.

Reception statuses – full lifecycle

The reception status is changed manually from the menu at the top of the reception detail page. Each status is displayed with a different color in lists and in the calendar.

Reservation cycle (REZ):

StatusMeaning
Vehicle bookedThe client has locked in the appointment. The reservation is waiting for the vehicle to arrive.
EstimationTechnical inspection in progress, the assessment is being made.
Awaiting approvalThe quote has been sent to the client, awaiting their "ok".
ApprovedThe client has approved the quote. You can create the service (SV).
Booking canceledThe client canceled before arriving.
Vehicle rejectedThe service refused to accept the vehicle (e.g., no capacity, wrong repair type).
Vehicle doneThe reservation was successfully converted into a completed service.

Service cycle (SV):

StatusMeaning
Vehicle receivedThe vehicle is in the service, awaiting the start of work.
Work in progressThe mechanic is working on the vehicle.
Work completedAll work is finished, awaiting invoicing.
Quote issued / InvoicingA quote has been issued to the client.
Work canceledWork was interrupted for some reason.
FinishedThe service is completed – the client has paid and picked up the vehicle.
ArchivedOld services can be archived to keep active lists clean.
There is also a separate Success status field (Successful / Unsuccessful) – used for statistics. For example, a service can be "Finished" but unsuccessful if it turned out that a bigger repair than planned was needed.

Work orders, quotes and invoices

From a single reception, multiple documents can be generated that are linked to that reception:

DocumentPurposeWhen to issue
Work orderInternal document for the mechanic – list of jobs, items, labor. Does not go into bookkeeping. Before starting work
QuoteOfficial quote to the client with the total price. Awaits their approval. If the client asks for confirmation before work
Proforma / Advance invoicePayment in advance (deposit for parts, down payment). When charging part of the amount before completion
Invoice (R1 / R2)Final fiscal invoice. Automatically fiscalized to FINA.Upon completion of work
Delivery noteDocument for handing over the vehicle and parts to the client. When the vehicle is picked up

All documents share the same items. If you change the oil quantity from 5 to 6 liters on the work order, the change is reflected in the quote and the invoice as well.

Calendar, slots and appointments

The calendar is a visual representation of all reservations and receptions. Available under Service → Calendar.

How free slots are generated

The system calculates free slots based on:

  1. Business unit working hours – defined in General settings for each day of the week.
  2. Lunch break – from service settings.
  3. Slot duration – e.g., 30 min generates slots 09:00, 09:30, 10:00…
  4. Existing events – slots that overlap with already created receptions and reservations are marked as busy.
  5. Service type duration – if a service type takes 60 min, it blocks two 30-minute slots.
Slot system activation

The slot system is optional. To activate it, all four prerequisites are needed:

  • Working hours set in General settings
  • Slot duration set in Service settings
  • Duration set in the service type (or in the reception)
  • (optional) Lunch break

If the slot system is not active, the appointment time is entered as free text and no overlap check is performed.

Overbooking: The system does not strictly prevent overbooking. Two receptions at the same time can be created manually. If you need strict limits, use the booking module, which supports max. bookings per slot.

Pricelists in the service module

The service module has several different pricing systems that together determine the final service price. It is important to understand which controls what.

Pricelist typeWhere definedWhat it controls
1. Item pricelist (cost / selling) Warehouse → Items and services The base prices of every item: cost price (NC), selling price without VAT (VPC), selling price with VAT (MPC), margin, VAT, return fee (PET). Each item (part) and each service (labor) has its own prices.
2. Labor hourly rate Warehouse → Items and services (as a service) The labor hourly rate is entered as a Service / Labor type item. The hourly rate is the selling price (VPC) of that service. You can have multiple rates: "Mechanic – regular work" = €30/h, "Body work" = €40/h, "Diagnostics" = €50/h.
3. Service type norms Options → Service types → Norms The "recipe" – which items and in which quantities are automatically added when the service type is selected. Prices are not stored in the norm; they are pulled from the item pricelist at the moment of adding.
4. PDR pricebooks PDR → Pricebooks Special pricebooks for body damage assessment – they convert the combination of "dent size × dent count × modifier" into a repair price. There are 4 different calculation types. Explained in detail in a separate article.
5. Per-client pricelists / discounts Clients → Client profile → Discounts and pricelists Rebates and negotiated prices for a specific client. E.g., an insurance company has an agreed €35/h rate instead of the standard €40/h, or a regular customer has -10% on all parts.
Price calculation example: oil change
Service type: Regular service – oil change
Norms (from service type settings):
  - Mechanic labor × 0.50 h
  - Motor oil 5W-30 × 5 l
  - Oil filter OE-4152 × 1 pcs
  - Drain plug gasket × 1 pcs

Prices from the item pricelist (selling without VAT):
  - Mechanic labor = €30.00/h
  - Motor oil 5W-30 = €8.00/l
  - Oil filter OE-4152 = €12.00/pcs
  - Drain plug gasket = €1.50/pcs

Calculation:
  0.50 × 30.00 = €15.00
  5 × 8.00 = €40.00
  1 × 12.00 = €12.00
  1 × 1.50 = €1.50
  -----------------------
  Total VPC = €68.50
  VAT 25% = €17.13
  Total MPC = €85.63

The Warranty billing category displays prices struck-through in quotes – an indication that the customer is not charged, but the cost is calculated for internal tracking or manufacturer reimbursement.

Vehicle documents and images

You can add an unlimited number of documents and images to each reception (photos of damage, registration document, insurance policy, signed statements…).

  • Document categories – defined under Options → Vehicle document categories (e.g., "Registration", "Damage photo", "Insurance policy", "Signed report").
  • Drag & drop upload – simply drag files into the window.
  • Upload from phone – opens the camera directly on mobile devices, without saving to the gallery.
  • Image gallery – click on an image to open a preview with navigation.
  • Linking with a PDR damage – in the PDR workflow, images are automatically linked to a specific damage record.

Dashboard and reports

The service dashboard gives an overview of the status of all active receptions:

  • Counters by status – how many are in assessment, in progress, awaiting approval, finished today…
  • Service trend – chart by day, week, or month.
  • Busiest technicians – who currently has the most open work orders.
  • Average service duration – from reception to completion.
  • Breakdown by service type – how many regular, warranty, PDR repairs in a given period.
  • Search – global search by document number, plate, VIN, client, or work description.

Access rights and prerequisites

The service module has its own set of permissions that can be assigned per employee under Options → Company → Employees → Access rights:

  • View services – may see the list and reception details.
  • Create reception – may open a new reception.
  • Edit reception – may modify existing receptions.
  • Delete reception – may delete (usually admins only).
  • Issue quotes and invoices – may create financial documents.
  • View all services vs. only own – some technicians may only see their own work orders (scope filter).
  • PDR assessments – may perform body assessments.
  • PDR pricebooks – may edit pricebooks (usually admin).
  • Booking module – may confirm online bookings.
Before enabling the module, check your package: the service module requires the Business package. Service locations and PDR may additionally be tied to the PRO or PREMIUM tier.

Frequently asked questions

QuestionAnswer
Can I have two technicians working in parallel on the same vehicle?Yes. Open two work orders from the same reception, each with a different technician. Each sees their own items.
What if a customer brings a vehicle without a license plate?Enter at least the VIN. The system requires at least one of the two.
How do I bill a service that is partly warranty and partly paid by the customer?Open two work orders from the same reception: one with the Warranty category and one with Regular. Each is billed separately – one to the manufacturer, the other to the customer.
How do I change the hourly rate for all services in one step? The hourly rate is stored as the selling price of the labor service. Change the price of that service in the item pricelist – new work orders will use the new price; old ones remain untouched.
How do I archive old services? In the reception detail, change the status to Archived. Archived services are not shown in active lists but remain searchable.
Can the customer book an appointment online themselves?Yes, through the booking module. They get a public link, fill in the data, and the admin confirms it.
How do I track the history of a vehicle?Open the vehicle card – there you will see a list of all receptions for that vehicle with dates, mileage, and work done.
Where can I see how many hours each technician worked in a month?Service → Reports → By technician. Shows the sum of labor hours per employee and period.
