Connecting to Shopify via WebHook

The Shopify integration works via the WebHook mechanism. When an order in Shopify is fulfilled, the data is automatically sent to Kigo which creates an invoice or quote, fiscalizes the document and sends it to the customer by email.

Activation procedure:

  1. In the Shopify Admin, open Settings → Notifications.
  2. At the bottom of the page, click Create Webhook.
  3. Select the event type Order Fulfillment (all orders/* events are supported).
  4. In the URL field, paste the WebHook address from the Kigo settings (available on the Shopify integration page).
  5. Save the WebHook and test by sending a test order.

Creating an Invoice or Quote

The document type depends on the payment status of the order when the WebHook sends data:

  • If the order is marked as paid (financial_status = paid) — an invoice is created.
  • If the order is not paid — a quote is created.

This behavior can be further customized through the Additional Rules tab where you define the combination of event, payment method and desired document status.

Items are automatically taken from the Shopify order along with price and tax. It is important that each item in Shopify has a defined SKU to prevent duplication with each new order.

Payment Method Mapping

Kigo automatically recognizes the payment method from the Shopify order according to the following rules:

  • Card payments — recorded as payment method Card.
  • Bank transfer, Cash on Delivery (COD), Bank deposit, PayPal — recorded as Transaction.

For specific configurations, use the Additional Rules tab where you can map individual Shopify payment gateways to the desired Kigo payment method.

VAT Setup and B2B Invoices (R1)

VAT is automatically taken from the Shopify order. For correct setup:

  1. In Shopify, open Settings → Taxes and duties and add Croatia with a 25% VAT rate.
  2. On each product, check the Charge tax on this product option.

For B2B customers (issuing R1 invoices), the customer enters the company name and OIB in the Company name field during checkout (e.g. Company d.o.o. / 12345678901). Kigo automatically recognizes the OIB (11 digits) from that field and creates a B2B client.

Enable the Company name field in Shopify Admin → Settings → Checkout, Customer information section, set to Optional or Required.

Item Synchronization (PREMIUM)

For two-way synchronization of items, stock levels and categories with Shopify, the Shopify Synchronization option is required, which needs a PREMIUM license.

Shopify API credentials are required for synchronization:

  1. In the Shopify Admin, open Apps → Apps and sales channels → Developer apps.
  2. Create a new application (e.g. KigoPOS) and enable permissions: write_inventory, read_inventory, read_locations, read_products, write_products.
  3. Copy the API key, password and shared secret and enter them in the Kigo Shopify settings.

Items must have a Web Title set (unique for all variations), Visible on Web = Yes option, and optionally attributes for variations (e.g. Size: XL) and metadata.

FAQ

  • The order doesn't appear in Kigo? Verify that the WebHook URL is correctly copied and the correct event is selected. You can check the WebHook delivery status in Shopify Admin → Settings → Notifications → Webhooks.
  • How do I reverse an invoice created from Shopify? Reversal is done exclusively in the Kigo application. Find the invoice and use the reversal option — fiscalized reversal is automatically reported to the tax authority.
  • Can I use categories with subcategories? Yes, use the > character in the group name to define hierarchy (e.g. Clothing > Women's > Dresses). Kigo will automatically create the corresponding collections on Shopify.
  • Do I need to manually enter items? No, if you don't manage inventory. Items are automatically added from each order, but they must have a defined SKU in Shopify.
