What is the archive and what is it for?
At the end of each business year, that year data (invoices, documents, stock) is moved into the archive, and the new year starts with its own invoice numbering from 1. The archive permanently keeps all previous years and you can return to view them at any time.
I closed the year and earlier invoices are no longer visible. Are they lost?
No. No invoice is deleted. Invoices of a closed year are kept in the archive of that year. To view and print them, enter the archive of the chosen year (steps below).
An additional backup copy of the data is kept alongside the archive.
What number does invoice numbering start from in the new year?
By default numbering starts from 1. However, it does not have to: the starting number can be set to any number if a situation requires it (it is determined by your internal act). In the program it is set with the Start from invoice number field in Settings (if empty, it starts from 1).
Is entering the archive safe?
Yes. Entering the archive is view only. Nothing is changed, closed or deleted. You open an old year to review and print documents, then leave and return to the current year.
How do I enter and leave the archive?
- Open the Options > Company > Archive menu.
- Next to the chosen year click Enter archive.
- While in the archive, a bar at the top shows Archive for 2025 year! with an Exit from archive link.
- Review and print the invoices you need.
- When done, click Exit from archive and you return to the current year.
I did not close the previous year in time and already have invoices in the new year. What now?
If the previous year was not closed in time and you already issued invoices in the new year, they continue the old number sequence. When you later close the year, those invoices remain in the old year archive, but the Tax Administration recorded them in the new year.
Example: on 31 Dec the last invoice is 560, and on 1 Jan you issued 561. After closing, 561 stays in the old year, but the Tax Administration treats it as a new year invoice. So that the sequence is correct, enter the next number in the Start from invoice number field (562 in this example).
If you are not sure, contact support ([email protected]) before closing.
Does archiving affect fiscalization and VAT?
No. Invoices that were already issued and fiscalized remain valid and unchanged. Archiving only reorganizes how data is stored in the application and does not change what was reported to the Tax Administration.
