Kigo – Entering Groups, Items and Services

This guide will help you enter your first groups, items and services into the Kigo system. All three features are related to everyday work at the cash register, as well as to subsequent invoice issuance and sales analysis.

Entering a Group

A group is the basic category for items and services. It is used for organising your offering, as well as for setting rules such as discounts and legal notes.

How to get there:
Warehouse → Groups → New Group

  • Name – Group name (e.g. "Services", "Beverages")
  • Status – Set to "Active" if it will be used immediately
  • Group item discount – Automatic discount on all items in this group
  • Minimum margin – If you do not want items in this group to be sold below a certain margin (profit)
  • Legal note – Additional text that appears on the invoice

Entering an Item

How prices and margin are calculated in Kigo:

  • Purchase price = the price you pay to the supplier (excl. VAT)
  • Margin (%) = ((Wholesale price - Purchase price) / Purchase price) x 100
  • VPC (wholesale price) = price excl. VAT (PDV) that you charge the customer
  • MPC (retail price) = VPC + VAT (PDV)
  • Tax = 25% standard, but can also be 0% or 5% depending on the item type

Example: Purchase price: 10 EUR + Margin: 50% → VPC = 15 EUR → MPC (incl. VAT) = 18.75 EUR

How to get there:
Warehouse → Items → New Item

  • Tab "Basic"
    • Group – Select the group the item belongs to
    • Item type – "Goods", "Product", "Consumable"...
    • Name – Item name
    • Unit of measure – pcs, kg, litre, etc.
    • Prices – Purchase, wholesale, retail, VAT (PDV) and discount
  • Tab "Additional"
    • Consignment – If you sell the item on behalf of another supplier
    • Ratios – Used when you sell an item in smaller quantities (e.g. 0.5 kg) but want to know the price per base unit (e.g. 1 kg).
Example: if 0.5 kg costs 5 EUR, the price per kg is 10 EUR.
    • Description and declaration – Used for A4 invoices and declaration printing
  • Tab "Web" – Used only if you have an active integration with an online store (Shopify, WooCommerce...)
If the item type is "Product", after saving an additional Bill of Materials tab will open that enables mini-production. There you define the item composition (e.g. bouquet = 3x rose + 1x hour of labour).

Entering a Service

How to get there:
Warehouse → Services → New Service

  • Tab "Basic Data"
    • Group – Which group the service belongs to
    • Service type – see the table below
    • Name, code, unit of measure
    • Price and tax
  • Service types:
    • Service – standard service, the most common type
    • Advance Payment / Prepayment – used for invoices paid in advance, not included in turnover calculations
    • Pass-through item – used for vehicle sales (PPMV, NZZV...), these are transfer costs not recorded as revenue
    • Variable price – the price is determined on each invoice individually, without discount
    • Product – a service composed of multiple items (materials + labour); enables bill of materials entry
  • Tab "Descriptions" – Short service description (visible on the A4 invoice or within the system).

If you have any additional questions, feel free to contact support.

The next step after entering this data is issuing an invoice – which is covered in a separate guide.
