KigoCloud - How to get started?
First-time setup in nine steps. A summary comes first; each step then starts with a short list of what to do, followed by the details.
In short
- What you need depends on how your customers pay:
- Cash or card at the register: you need fiscalization of cash invoices (Fiscalization 1.0), that is a FINA certificate, a registered business premise and an internal act.
- Companies and institutions paying to your bank account (bank transfer): from 2026 such invoices must be sent as eInvoices through an intermediary (Fiscalization 2.0), so you need a registration with the intermediary and an eInvoice package.
- Both: prepare both. The rule is set by law: cash and cards are F1, bank transfer from a business customer is F2.
- Not VAT registered (for example a flat-rate trade): you must receive eInvoices from 1 January 2026 and issue them from 1 January 2027 (Tax Administration guide). You need the intermediary registration for receiving; in the business unit settings mark that you are not VAT registered and, until you start issuing eInvoices, that you are not obliged to send them.
- Enter your company details: name, address, tax ID (OIB) and bank account number (IBAN), optionally the logo. They are printed on every invoice.
- Enter the business unit details: address and working hours, the invoice numbering sequence and whether you are VAT registered. The business premise code (settings, Profit center / Fiscal. 1.0 tab) and the POS device code (General information tab) were set when the licence was opened; you register the same codes with the Tax Administration.
- If you take cash or cards: print and sign the internal act (Kigo assembles it for you), register the business premise with the Tax Administration using the registration form, obtain a certificate from FINA and upload it to Kigo.
- eInvoices: register with the intermediary ePoslovanje from Kigo, sign the contract that arrives by e-mail and confirm the intermediary on ePorezna; everyone needs this, because eInvoices must be received from 1 January 2026. If you invoice companies and institutions by bank transfer, also buy an eInvoice package; such invoices then leave Kigo as eInvoices.
- Enter the employees who will issue invoices and quotes; with the PIN each of them is confirmed as the person who issued the document.
- Choose how you print invoices: on a small thermal printer at the register or on an ordinary A4 printer.
- Enter what you sell: groups first, then items and services with price and VAT rate.
- Issue an invoice or a quote: Sales → Invoices → New invoice. For an invoice to a business customer pick the customer with the Customer R1 button: with bank transfer it is F2 (eInvoice), with cash or card F1 with the customer's tax ID.
1. Before you start: what you need
- You take cash or cards (also when a company pays that way): Fiscalization 1.0.
- You invoice companies and institutions by bank transfer (payment to your bank account): Fiscalization 2.0, eInvoice.
- You do both: you need both. By law, cash and cards are F1, a bank transfer from a business customer is F2.
- VAT registered: VAT setting = Yes; you issue and receive eInvoices from 1 January 2026. Not VAT registered: VAT = No; you receive eInvoices from 1 January 2026 and issue them from 1 January 2027, so the "obliged to send" setting stays on No until then.
- Not sure? Check with your accountant before the first invoice.
The settings depend on three answers: are you VAT registered, who do you invoice (consumers or business customers) and how do you get paid (cash and cards at the register, or a transfer to your IBAN). From that follows whether you need Fiscalization 1.0, Fiscalization 2.0 or both.
Fiscalization 1.0 is fiscalization at the moment of issue: Kigo signs the invoice with your FINA certificate and sends it to the Tax Administration, and the invoice shows the JIR and ZKI codes. Fiscalization 2.0 is the exchange of eInvoices: an invoice to a business customer does not go on paper but as an eInvoice through an authorised information intermediary, which delivers it to the customer and fiscalizes it. In Kigo such invoices are marked F1 and F2.
| Who you invoice and how you are paid | What applies | What to prepare in Kigo |
|---|---|---|
| Consumers (B2C), cash or card | Fiscalization 1.0 | FINA certificate and a registered business premise (Fiscalization 1.0) |
| Consumers (B2C), transfer to IBAN | Fiscalization 1.0 (from 1 January 2026) | Same as above |
| Business customers (B2B), cash or card at the register | Fiscalization 1.0, from 1 January 2026 with the customer's tax ID on the invoice | Same as above; enter the customer as B2B with a tax ID (First invoice and quote) |
| Business customers and public bodies (B2B, B2G), transfer to IBAN | Fiscalization 2.0: eInvoice through an information intermediary | Registration with ePoslovanje, eInvoice package and KPD codes on items (Fiscalization 2.0) |
An invoice to a company paying at the register goes through Fiscalization 1.0, only with the customer's tax ID. If you take both cash and bank transfers from business customers, you need both.
VAT. If you are VAT registered, leave the setting Company is VAT registered on Yes: every item and service gets a VAT rate, prices are entered with VAT and VAT is calculated and printed on every invoice. If you are not VAT registered (for example a flat-rate trade), set it to No: VAT is neither calculated nor shown on invoices. The exemption note the law requires on your invoices is added as described in VAT exemption and legal notes. According to the Tax Administration guide, taxpayers outside the VAT system must receive eInvoices from 1 January 2026 and issue them from 1 January 2027. So register with the intermediary (Fiscalization 2.0) now, and keep the setting Poslovni subjekt obveznik slanja eRačuna on No until you start issuing eInvoices; it only silences the reminders about unsent eInvoices. Both settings are edited in Business unit.

2. Company details
- Options → System settings → General settings, tab General information.
- Enter Company name, Company address, Tax ID (OIB), IBAN, contact e-mail and phone, Logo.
Open Options → System settings → General settings, tab General information. Settings are changed right in the row: click the value or the pencil icon, enter it and save with Save. Yes/No settings have a switch that saves at once. Enter:
- Company name, Company address and Tax ID (OIB): printed in the header of every invoice and quote exactly as entered. If the header should also carry the business unit (for example the shop name and its address, different from the registered office), fill in Business unit and Business unit address
- Tax ID prefix: enter HR if the tax ID should be printed with the HR prefix, otherwise leave empty
- IBAN: printed on the payment slip with the invoice and included in eInvoices
- Contact e-mail and Contact phone: Kigo prefills them in the registration form of the information intermediary; the e-mail is also the reply address when you send an invoice or quote by e-mail, and the contact in eInvoices
- POS device number: the POS device code in the invoice number; it was set when the licence was opened and is shown here only, it does not change
- Logo: upload the logo image; printed in the header of A4 invoices and quotes
Every setting explained: General settings.
3. Business unit: codes, invoice number, VAT and eInvoice obligation
- Options → System settings → General settings, tab Profit center / Fiscal. 1.0.
- Enter the address and working hours of the premise, Invoice sequence at level P-business unit or N-POS device (at business unit level or at POS device level) and Document sequence format (1/1/1 or 1-1-1).
- Business unit short code (for example POSL1) and the POS device code were set when the licence was opened; check them, you register the same ones with the Tax Administration.
- Set Company is VAT registered and Poslovni subjekt obveznik slanja eRačuna to Yes or No.
- Decide the sequence and the separator before the first document; once the first document is issued they cannot be changed.
In Options → System settings → General settings open the tab Profit center / Fiscal. 1.0. Here are the details that go into fiscalization and into the invoice number:
- Street, House number, City, Postal code, Municipality: the address of the business premise, the same one you register on ePorezna
- Radno vrijeme: as stated in the business premise registration (for example Mon-Fri 8-16, Sat 8-13)
- Business unit short code: the business premise code, for example POSL1 or P1. It was set when the licence was opened (you entered it at registration or we entered it as agreed) and is shown here only, it does not change. The same code goes into the internal act and is registered on ePorezna, because it is part of the invoice number and of fiscalization. More about the code: Business Premises and Internal Act
- Invoice sequence at level P-business unit or N-POS device: At business unit level means all POS devices in the business unit share one number sequence (1/POSL1/1, 2/POSL1/2, 3/POSL1/1 ...). At POS device level means every POS device has its own sequence (1/POSL1/1, 2/POSL1/1 ... and separately 1/POSL1/2, 2/POSL1/2 ...). With a single register there is no practical difference
- Document sequence format: slash (1/1/1) or dash (1-1-1) as the separator in the invoice number
- Company is VAT registered: Yes or No, see What you need
- Poslovni subjekt obveznik slanja eRačuna: Yes or No, see What you need. With No the system shows no reminders about unsent eInvoices on the home page and invoice list, while sending on demand stays possible
- NOT IN USE. Report via ePorezna.: informational only; the business premise is registered on ePorezna (Fiscalization 1.0)
If you are taking over the system mid-year and invoices must continue an existing numbering, set Start from invoice number (empty for 1) on the Others tab. Without it the first invoice gets number 1.
4. Fiscalization 1.0: internal act, ePorezna registration and certificate
- Internal act: Options → System settings → General settings, tab Profit center / Fiscal. 1.0, button Create internal act; print, sign and keep it at the premises.
- Business premise registration on ePorezna with the same code as in Kigo, together with the fiscalization data registration form.
- FINA certificate: request it from FINA (online on the OSPD portal or at an office, instructions and forms), download the .p12 file on usercert.fina.hr.
- Upload the certificate to Kigo: Options → System settings → General settings, tab Profit center / Fiscal. 1.0, Set certificate (.p12 and password).
Needed by everyone who issues invoices paid in cash or by card, and for invoices to consumers paid by transfer to the IBAN. Everything is done once, before the first invoice, in this order:
- Internal act. The document in which you define the business premise codes, the POS device codes and the invoice numbering rules. It is not sent to the Tax Administration, but you must have it and show it on request. The premise and device codes are already in Kigo; complete the address, working hours and sequence (Business unit) and enter the employees (Employees), then let Kigo assemble the act: in Options → System settings → General settings, tab Profit center / Fiscal. 1.0, click Create internal act (or open the Internal act page directly), check the data shown, enter who issues the decision and the dates, click Create internal act and print the document. Sign it and keep it at the premises. How the codes are chosen and what the act contains: Business Premises and Internal Act.
- Fiscalization data registration form. With the business premise registration the Tax Administration also asks for details of the producer and maintainer of the software you issue invoices with. Download the form with the Kigo details already filled in: Fiscalization data registration form (Word, Croatian). In the section Podatci o obvezniku fiskalizacije enter your tax ID, name and address, the code and address of the business premise, the premise type, the activity, working hours and days, the opening date and the premise status. The sections about the software producer and maintainer are already filled in.
- Business premise registration on ePorezna (Fiskalizacija, Prijava poslovnih prostora), with the same code, address and working hours you entered in Business unit, together with the form from the previous point. You or your accountant do this; Kigo does not send it for you. Register the premise before you issue the first invoice from it.
- Fiscalization certificate. The application certificate for fiscalization is issued by FINA and is valid for 5 years. The request is filed by the taxpayer (the trade owner or the person authorised to represent the company), in one of two ways:
- Online, on FINA's OSPD portal (ospd.fina.hr), if you have an advanced electronic signature: you upload the signed Zahtjev za izdavanje certifikata za fiskalizaciju (request), the Ugovor o obavljanju usluga certificiranja (contract), proof of payment and a copy of the ID card of the person who will be the certificate custodian.
- In person at a FINA office (list of offices), with the same documents on paper (the contract in two copies).
- Uploading the certificate to Kigo. In Options → System settings → General settings, tab Profit center / Fiscal. 1.0, section Fiskal 1 certificate, click Set certificate. On the next screen click Replace certificate, choose the .p12 file, enter the certificate password in the Password field and click Save. The tab then shows Fiscalization 1.0 active and certificate set, the file name and the validity period. If the password is wrong, the tab says so; click Change certificate, then Change password and enter it again.
5. Fiscalization 2.0: eInvoices and the information intermediary
- Options → System settings → eInvoice / Fiscal 2.0 settings, button Registration on ePoslovanje.hr; you start the registration from Kigo.
- Sign the contract that arrives by e-mail, then confirm ePoslovanje as your intermediary on ePorezna through FiskApp.
- Buy an eInvoice package with Order a package and enter the KPD code on items and services.
- An invoice to a business customer with payment Bank Transfer is marked F2 by Kigo and offers the Send as e-invoice button.
From 1 January 2026 every taxpayer must be able to receive eInvoices, and VAT registered taxpayers must also issue them to business customers and public bodies paid by bank transfer (outside the VAT system issuing becomes mandatory on 1 January 2027). eInvoices are exchanged only through an authorised information intermediary; Kigo is connected to the intermediary ePoslovanje.hr and you start every step from the application. Complete Company details first, because the company data is carried into the registration.
- Registration with the intermediary. Open Options → System settings → eInvoice / Fiscal 2.0 settings. The page e-Invoice Settings lists the supported intermediaries; click Registration on ePoslovanje.hr. The form is prefilled with the company data (name, tax ID, IBAN, address); add the responsible person (name, e-mail, phone), choose a username and password for your ePoslovanje account, accept the terms and click Create a user account. Always start the registration from Kigo, because that is how the link to the intermediary is established, without any manual entry. Write down the username and password; Kigo does not store them, and you need them to log in to the ePoslovanje portal directly.
- Contract. ePoslovanje sends the contract to the e-mail address you entered. Sign it (digitally, or by hand and scanned with the original by post) and return it as instructed in the message.
- Confirming the intermediary on ePorezna. Once the contract is received, ePoslovanje registers you in the Tax Administration register and sends instructions on what to confirm through FiskApp on ePorezna: there you confirm ePoslovanje as your information intermediary and authorise it to sign eInvoices with its certificate. You do not need your own signing certificate. Follow the e-mailed instructions to the end.
- eInvoice package. Sending eInvoices uses up a package you buy in advance, like phone credit. On the e-Invoice Settings page click Order a package and choose a package for the expected number of eInvoices; the balance is shown under Your current Balance. Receiving eInvoices is included in the module and does not use the package.
- KPD codes on items and services. Every eInvoice line carries a KPD classification, so enter it on items and services (field KPD code, format xx.xx.xx) before the first eInvoice: KPD Classification.
In daily work. Close an invoice to a business customer paid by bank transfer like any other (First invoice and quote). Kigo marks it F2 and the invoice preview offers the Send as e-invoice button. Until the eInvoice is sent, the issued invoices list shows a red F2 mark with the note Should be sent as eInvoice!; after sending the mark turns green. Sent and received eInvoices, their status and downloads are in Sales → eInvoices → Outbound eInvoices and Sales → eInvoices → Inbound eInvoices.
If you are not yet obliged to issue eInvoices (outside the VAT system until 1 January 2027), still do the registration and the intermediary confirmation for receiving, and buy the package when you start sending. Keep the setting from Business unit on No until then; the send button stays available if you want to send an eInvoice anyway. Working with received and sent eInvoices: eInvoices.
6. Employees
- Options → Company → Employees, button New employee.
- First name, surname, PIN (unique), tax ID, Status = Aktivno, then Add.
Every invoice and quote carries the name of the employee who issued it, so enter everyone who will issue documents. Open Options → Company → Employees and click New employee. Enter first name, surname, PIN and tax ID, set Status to Aktivno (an inactive employee cannot be selected) and click Add.
- PIN is the numeric code with which the employee is confirmed as the person issuing the invoice, quote or other document; it must be unique per employee
- Employee tax ID is printed on the invoice while Print employee Tax ID is switched on in the printing settings
Details and statuses: Employee Management.
7. Printing invoices
- Options → System settings → General settings, tab Printing settings: Printer type (pos, a4, mobile) (pos or a4).
- Thermal printer: Printer name and the print service installation (POS Printer Installation). A4: bottom text and invoice columns.
In Options → System settings → General settings, tab Printing settings, first choose Printer type (pos, a4, mobile): pos for a thermal printer at the register, a4 for printing on an ordinary printer or to PDF, mobile for mobile printing. Then set:
- Thermal (POS) printer: Printer name, Number of columns on POS printer (paper width in characters), Number of print copies, Number of blank lines after invoice (0-9) and Text below invoice. Connecting the printer to the browser: POS Printer Installation
- A4 invoice: the text at the bottom of the invoice (usually IBAN, web, share capital), the header with the logo and the columns to print (setting Manually set A4 invoice print columns). With Print R1 invoices on A4 only invoices to business customers go to A4 even when the register has a thermal printer
All printing settings explained: General settings.
8. Groups, items and services
- Group: Warehouse → SKU books → Groups, New group.
- Item: Warehouse → SKU books → Items, New item: group, name, unit of measure, prices, VAT, optionally the KPD code.
- Service: Warehouse → SKU books → Services, New service.
- Many items? Import from a CSV file: Importing Items, Search and Barcode Scanners.
The order matters: first a group, then the items and services in it. Without at least one group an item cannot be entered.
- Group: Warehouse → SKU books → Groups, button New group. A group is a category by which you later search items and view sales reports.
- Item (goods with stock): Warehouse → SKU books → Items, button New item. Enter Group, Item type, Name, Code, UOM and optionally Barcode; in the Prices section the purchase price, margin, wholesale price, VAT rate and retail price (Kigo recalculates one from the other). If you send eInvoices, also enter the KPD code.
- Service (labour, rental, anything without stock): Warehouse → SKU books → Services, button New service. Besides group, name, price and VAT you choose the Service type: a regular service, an advance payment, a pass-through item or a service whose price is entered on each invoice.
A guide with price and margin examples and every field explained: Groups, Items and Services. For many items there is a CSV import and barcode scanner support: Importing Items, Search and Barcode Scanners. KPD codes: KPD Classification.
9. First invoice and quote
- Invoice: Sales → Invoices → New invoice, add the items, Charge (F6), choose the payment method.
- Business customer: before closing, Customer R1 (F2) with type B2B - Company / Legal entity and a tax ID.
- Quote: Sales → Offers → New offer, Save; later Create invoice on the quote preview.
- A mistake on an issued invoice is handled with Void (F12), not by deleting.
Customers. A consumer gets an invoice without entering a customer. For a business customer (company, trade, institution) enter the customer first: Clients → Partners, or directly from the invoice with the Customer R1 button (F2 key). When entering, choose Client type B2B - Company / Legal entity (for the state and public administration B2G - State and public administration) and enter a valid tax ID; without it the invoice cannot be F2.
Invoice. Open Sales → Invoices → New invoice. Add an item by typing its code or barcode and pressing Enter, or by choosing it from the item list (F4 key); change the quantity in the field next to the line. For a business customer pick the customer with Customer R1. Then click Charge (F6 key), choose the payment method in the dialog (Cash, Credit card, Bank Transfer, Other) and confirm. The invoice is closed, fiscalized and printed. To send it by e-mail instead of printing, click Close and send. A wrongly issued invoice is not deleted but reversed with Void (F12 key).
Marks on the invoice list. In Sales → Invoices → Issued invoices every invoice number carries a mark: green f1 means the invoice is fiscalized, red f1 that it is not; green F2 that the eInvoice was sent, red F2 that it still has to be sent as an eInvoice.
Quote. Open Sales → Offers → New offer, add the lines and the customer (Customer R1 button) and click Save. A saved quote can be printed, sent to the customer by e-mail with Send, and once the customer accepts, click Create invoice on the quote preview and an invoice with all the lines is created. Quotes are not fiscalized. All quotes are in Sales → Offers → Issued offers.
Everything the register can do: Invoices. Working with quotes: Quotes.
