Payment Methods Overview

The system supports multiple payment methods used when issuing invoices at the Cash Register. Correctly configured payment methods ensure accurate financial reports and cash register reconciliation.

The basic payment methods are:

  • Cash - cash payment (built into the system)
  • Card - bank card payment (card types need to be configured)
  • Wire Transfer - bank transfer payment (built into the system)
  • Other - other payment methods (need to be configured)

Cards - Setting Up Types

To track card payments, you need to define which card types you accept:

  • 1. Open Options > Cards
  • 2. Click New Card
  • 3. Enter the card name (e.g. "Visa", "Mastercard", "American Express", "Diners")
  • 4. Save the entry

Defined cards appear as options when selecting a payment method at the Cash Register and in financial reports for card revenue breakdown.

The card name is the only required field. We recommend using recognizable names that match the cards you accept.

Other Payment Methods

In addition to cash, cards and wire transfer, you can define additional payment methods:

  • 1. Open Options > Other Payments
  • 2. Click New Payment
  • 3. Enter the payment method name (e.g. "Gift Voucher", "Loyalty Card", "Crypto")
  • 4. Set the status to active
  • 5. Save the entry

Other payment methods have an active/inactive status. Only active methods are available at the Cash Register.

Usage at the Cash Register

When issuing an invoice at the POS, you select the payment method:

  • When selecting card, the system requires you to choose a specific card type from the defined list
  • When selecting other, the system requires you to choose a specific type from defined other payments
  • Cash and wire transfer do not require additional selection
  • The payment method is recorded on the invoice and used in all reports

Split Payment

The system supports split payment of a single invoice with multiple payment methods:

  • The customer can pay part in cash and part by card
  • Each payment portion is recorded separately
  • In reports, amounts are correctly distributed by payment method
  • The Cash Register report shows a breakdown for each payment portion

Payments in Reports

Payment methods are tracked in detail in financial reports:

  • Cash Register Report - daily revenue overview broken down by all payment methods
  • Revenue by Period (VAT) - tax breakdown by each payment method and card type
  • Invoice Book - payment method listed for each issued invoice

Correctly defined cards and other payments enable precise revenue analysis and reconciliation with bank statements.

Administration

Payment method management is available only to administrators:

  • Cards - adding, editing and deleting card types
  • Other Payments - adding, editing and deactivating other methods
  • Deletion is possible only if the payment type has not been used on existing invoices
  • Instead of deleting, it is recommended to deactivate payment methods that are no longer used
Define all cards you accept to get a detailed breakdown in reports for easier reconciliation with bank statements.
If you do not define card types but use card payments, the reports will show an item "No card selected" which makes revenue tracking difficult.
