What Are Document Templates?

Document templates allow you to create customized printouts for different types of documents. Instead of the standard invoice or quote layout, you can design your own template using HTML and system variables. Templates are used for:

  • Invoices and quotes with custom design.
  • Client-related printouts (e.g. contracts, confirmations).
  • Item-related printouts (e.g. declarations, labels).
  • Employee-related printouts.
  • Vehicle service work orders.

Creating a Template

To create a new template, go to Options → Document Templates → New Template. Define:

  • Template Name - descriptive name for easy identification.
  • Related To - document type (invoices/quotes, clients, items, employees, service work orders).
  • Template Style - "Predefined" uses the standard frame, "From Template" uses fully custom HTML.
  • Content (HTML) - enter the HTML code of the template with variables.
  • Status - activate or deactivate the template.

Available Variables

You can insert variables into the template content that are automatically replaced with actual data when printing:

  • Company: {LOGO}, {COMPANY_INFO}, {COMPANY_NAME}, {COMPANY_ADDRESS}, {COMPANY_OIB}
  • Client: {CLIENT_NAME}, {CLIENT_ADDRESS}, {CLIENT_OIB}, {CLIENT_CONTACT}
  • Invoice: {INVOICE_DATE}, {INVOICE_NUMBER}, {INVOICE_ITEMS}
  • Item: {ITEM_TITLE}, {ITEM_REFERENCE}, {ITEM_BARCODE}, {ITEM_BARCODE_IMAGE}, {ITEM_DECLARATION}
  • Other: {EMPLOYEE_FULLNAME}, {CURRENT_DATE}, {CURRENT_DATETIME}, {NOTES_AND_EVENTS}

Template Styles

The system offers two template styles:

  • Predefined - the template is displayed within the standard frame with company header, logo and footer. Suitable for quick creation without needing to design the entire page.
  • From Template (Custom) - full control over appearance. You define the entire HTML including header, body and footer. Ideal for fully customized documents.

Printing from Template

Templates are used when printing documents. Depending on the template type, the print option is available on:

  • Invoices/Quotes - on the invoice or quote view, select the template for printing.
  • Clients - on the client card, select print by template.
  • Items - on the item card for printing labels or declarations.

The template can be printed as PDF or directly to a printer.

Use the variable {ITEM_BARCODE_IMAGE} to automatically display the item barcode on the template - the system generates an SVG barcode image from the item reference code.
