What Are Declarations?
Declarations in the Kigo system allow you to print custom labels (stickers) for items. Labels are printed on A4 paper (or other formats) divided into a grid – for example 4 columns × 5 rows = 20 labels per page.
Each label can contain:
- Barcode – an SVG barcode image of the item (CODE 128 format)
- Item reference – internal reference for quick identification
- Item name – the full product name
- Price – retail price (MPC), wholesale price (VPC), price per relation unit
- Supplier data – supplier or importer name
- Declaration text – free text entered on the item card
- Country of origin, quantity unit, item category and other data
Accessing Declarations
Access declarations from the main menu: navigate to the category containing items and warehouse, then select Declarations.
A list of all declaration templates opens. From here you can:
- View an existing template and print labels
- Edit an existing template
- Create a new template
- Delete a template (admin only)
Creating a New Declaration Template
On the declaration list click New Declaration. A form opens with template settings:
Basic Settings
- Title – template name (e.g. "Eurolabel 52x30", "Forax labels", "Nano stickers")
- Paper size – choose a format:
- A4 (21 × 29.7 cm) – most common format
- A5 (14.8 × 21 cm)
- A6 (10.5 × 14.8 cm)
- 104 mm (10.4 cm) – for continuous/roll labels
- Font size – from 6px to 20px, adjust according to label size
Grid Layout
- Number of labels per row (columns) – e.g. 2, 3 or 4
- Number of rows – e.g. 5, 7 or 10
When you change the number of columns or rows, the system automatically calculates the dimensions of each label based on the paper size and margins.
Page Margins
Set page margins in millimetres: top, right, bottom and left. Margins define the space between the edge of the paper and the start of the label grid.
Label Dimensions
- Width / Height – content area dimensions of the label in mm
- Outer width / Outer height – total label dimensions including spacing (border area) in mm
The difference between the outer dimension and the content area defines the inner padding of the label.
Outer width = (210mm − left margin − right margin − 2mm) / number of columns
Outer height = (297mm − top margin − bottom margin − 2mm) / number of rows
The content area is 4mm smaller than the outer dimension.
Building the Template
The template defines the content of each label. On the form there are buttons for all available variables – click a button to insert the variable into the template at the cursor position.
Variables are written in square brackets, e.g. [Naziv artikla] or [Barcode].

Printing Declarations (Labels)
After creating a template, open it by clicking its name in the list. The print interface opens with template settings and item selection options.
Ways to Select Items for Printing
1. By Category (Group)
Select a category from the Category items dropdown. The system will print a label for every item in the selected category – one label per item.
2. From a Goods Receipt (Primka)
In the Receipt items field start typing the receipt number. The system shows search results (typeahead) – select the desired receipt.
- The system prints labels for all items on the receipt
- Enable the Print for all quantities checkbox – the system prints as many labels as there are units on the receipt (maximum 200 per item)
- Without the checkbox it prints one label per item
- Prices on labels come from the receipt (variable [Primka MPC]), not from the item card
- The receipt supplier is available via the [Dobavljač primke] variable
3. From a Price Change (Nivelacija)
In the Price change items field start typing the price change number. The principle is the same as with receipts:
- Labels are printed for all items in the price change
- The Print for all quantities checkbox controls the number of labels (max 200)
- Prices come from the price change – you can use variables [Nivelacija MPC], [Nivelacija VPC], [Nivelacija Stara MPC] and [Nivelacija Stara VPC]
4. Individual Item
Search for an item by reference or name in the respective fields. The system shows autocomplete results – select the item. When printing a single item, the system fills the entire page with the same item (e.g. 20 identical labels for a 4×5 grid).
Additional Print Options
Font Size
On the print interface you can change the font size (6-20px) independently of the template default. The change is immediately reflected in the preview.
Print Position Range (From-To)
The Print position from-to field allows printing only specific labels on a page. Input formats:
- 5 – prints only position 5
- 1-4 – prints positions 1 to 4
- 5-8 – prints positions 5 to 8
- 5- – prints from position 5 to the end
- -10 – prints from the beginning to position 10
This feature is useful when you have a partially used label sheet – you can continue printing from where you left off.
Start from Position
The Start from position checkbox works in combination with the from-to field. When enabled, the system inserts blank labels before the specified starting position, so that the content prints exactly at the correct position on the label sheet.
Preview
At the bottom of the interface there is a Preview – a display of one label with populated variables for the selected item. The preview automatically refreshes whenever you change the item, category, receipt or price change selection.
Barcodes on Labels
The system generates barcodes in CODE 128 format using SVG (Scalable Vector Graphics) technology. SVG barcodes are perfect for printing because:
- They are scalable – they maintain sharpness at any size
- They do not depend on printer resolution
- They are compatible with all modern barcode readers
Difference between the two barcode variables:
- [Barcode artikla] – outputs the barcode number as text (e.g. "3850123456789")
- [Barcode] – generates a visual SVG barcode image that can be scanned
Scanning Barcodes at the POS
After printing labels and sticking them on products, you can use a handheld barcode scanner at the POS for quick invoicing:
- Print labels with barcode images for items using a declaration template
- Stick the labels on products
- At the POS open a new invoice
- Scan the barcode from the label with a handheld scanner
- The system automatically finds the item by barcode and adds it to the invoice
Benefits of this approach:
- No manual typing – no need to search for items or type references
- Faster checkout – scanning takes a fraction of a second
- Fewer errors – eliminates the possibility of incorrect entry
- Custom barcodes – you can create your own barcodes for items that don't have a manufacturer's EAN
Quick Printing from Other Documents
Besides accessing declarations from the main menu, you can print labels directly from the document you are working on – no navigation or re-typing needed:
From a Goods Receipt (Primka and KPU Primka)
On the goods receipt view there is a "Create declarations..." button that opens a dropdown menu listing declaration templates (up to 10 templates, sorted by name). Clicking a template automatically opens the print interface with the receipt pre-selected – no re-typing required.
- All items from the receipt are automatically selected
- Prices on labels come from the receipt (not from the item card)
- The receipt supplier is automatically available as a variable
- This option is also available on KPU receipts (commission intake)
From a Price Change
On the price change view an identical "Create declarations..." button allows quick printing of labels with new prices for all items whose price has changed.
From the Item Card
On the individual item view the Declaration field shows the text you entered. You can print labels for a single item from the declaration print interface by searching for the item by reference or name.
Declaration Field on the Item Card
Each item has a Declaration field on the item card in the Advanced tab (Descriptions section). This field is for free text with product data – composition, material, usage instructions and similar.
The text from this field is available on labels via the [Deklaracija] variable. It is also used for:
- Printing on A4 invoices (detailed product description)
- Printing via document templates (variable {ITEM_DECLARATION})
Frequently Asked Questions
Can I use my own barcode instead of an EAN?
Yes. In the Barcode field on the item card you can enter any code – the system will generate it as a CODE 128 barcode on the label. At the POS the scanner will recognise it and find the matching item.
How do I print labels only for items whose price has changed?
Use printing from a price change. After performing a price change, open it and click Create declarations, choose a template and print. The [Nivelacija MPC] and [Nivelacija Stara MPC] variables allow you to display the old and new price on the label.
How do I print exactly as many labels as the quantity of goods I received?
Print from a goods receipt with the Print for all quantities checkbox enabled. The system will print as many labels for each item as there are units on the receipt.
I have a partially used label sheet. How do I continue printing?
Use the Print position from-to field. For example, if you used the first 8 labels on a sheet of 20, enter "9-" and enable the "Start from position" checkbox. The system will leave the first 8 positions blank and begin printing from position 9.
Why doesn't the barcode appear on the label?
Check that the item has the Barcode field filled in on the item card. If the field is empty, the [Barcode] variable will display "-" instead of a barcode image.
Can I create a template without a barcode?
Yes. The template can contain any combination of variables. You can create a label with just the name and price, or just the barcode image – it is fully customisable.
Who can create and edit templates?
All logged-in users can create, edit and use templates. Deleting templates is only available to users with the admin role.
