What are services in the Kigo system?

Services are line items sold on invoices but, unlike items, they do not have stock quantity. Typical examples of services are: repairs, installation, transport, consultations, subscriptions and similar. Services are managed under a separate module to clearly distinguish them from physical goods.

Key differences between services and items:

  • Services do not have stock – quantity is not tracked and is not reduced upon sale.
  • Services do not have Stock, Reserved and Incoming columns on the list.
  • Services typically do not have a barcode (although the field is available).
  • Services do not have fields for ratios, packaging, deposit fee (PET), consignment, supplier, country of origin, declaration or web integrations.
  • Services have additional types: Service, Advance/Prepayment, Pass-through item (PPMV), Variable price and Product.
Note: Before entering the first service you must have at least one active group (category). Groups SERVICE-M and AUTO-M are automatically filtered from selection as they are reserved for special types.

Tab: Basic data – form fields

This tab contains the most important service data:

  • Group (category) – required field. Select the group the service belongs to. A group description is shown below the field. If you select the PASS-THROUGH group, VAT is automatically set to 0%.
  • Service type – required field with options:
    • Service – standard service type.
    • Advance / Prepayment – for advance invoices and prepayments.
    • Pass-through item (PPMV, BP) – pass-through items not subject to VAT. Tax is automatically set to 0%.
    • Variable price – service where the price varies and discount is not applied automatically.
    • Product – service that has a bill of materials (recipe). Enables the Bill of Materials tab for defining materials.
  • Service name – required field, up to 255 characters. Name displayed on invoices and in the list.
  • Reference code – required field, unique. Internal service code.
  • CPD code – optional, format xx.xx.xx. Classification according to the CPD standard.
  • Unit of measure – required. Select: pcs, hour, day, month, etc.
  • Legal note – optional. Select a legal note from the drop-down for display on the invoice.
  • Barcode – optional field, up to 128 characters. You can generate a barcode by clicking the icon or scan on a mobile device.

Tab: Basic data – Prices section

The prices section is located within the Basic data tab and works similarly to items but is simpler:

  • Price excl. tax (purchase price) – base service price without VAT. This is the basis for calculating the total price.
  • Tax % (VAT %) – VAT rate. For new services it is automatically set to the default rate. For pass-through items it is automatically 0%.
  • Tax EUR (VAT amount) – automatically calculated VAT amount. Read-only field.
  • RP (retail price) – final price including VAT. Calculated as: RP = Price excl. tax + VAT.

For services there are no margin, WP, deposit fee or quantity fields – those fields are hidden and set to default values (margin 0, WP 0, quantity 1).

Tip: You can enter only the price excl. tax and VAT %, and the system will automatically calculate the RP. Or enter the RP and the system recalculates in reverse.

Tab: Descriptions

The second tab contains a field for the service description:

  • Service description – free text in a large text area. You can enter a detailed description of what the service includes, conditions, notes, etc.
  • The description is used internally only – it is not displayed on invoices.

Tab: Bill of Materials

The Bill of Materials tab is available only for services of type Product:

  • For a new service, bills of materials are not available until the service is saved as type Product.
  • If the service is not of type Product the tab is disabled and displays a message: Bill of Materials is available only for Services of type Product.
  • Bills of materials define the raw materials needed for one unit of the service/product.
  • Click Add bill of materials to add materials from the modal.
Example: A service "Shelf assembly" of type Product can have a bill of materials: 2m board, 4 screws, 0.5l varnish. When invoicing, the system can automatically deduct raw materials from stock.

Service list and search

The services list page displays a table with the following columns:

  • Reference – internal service reference.
  • Name – service name.
  • Category – group the service belongs to. Can be filtered from the drop-down.
  • Service type – displays the type (Service, Advance, Pass-through, Variable price, Product). Can be filtered.
  • Unit – unit of measure.
  • Barcode – visible only in advanced view (click Show more columns).
  • WP – wholesale price.
  • VAT % – VAT rate (visible in advanced view).
  • VAT – VAT amount (visible in advanced view).
  • RP – retail price, always visible.

To search use the field above the table. It searches by reference, name or barcode.

Advanced options and export

  • Show more columns – displays additional columns: Barcode, VAT %, VAT amount.
  • Export to Excel – export the service list to XLS format.
  • Export to CSV – export to CSV format.
  • Print Price List – prepares the table for printing.

Archiving and activating services

Services are not permanently deleted but rather archived:

  • To archive, open the service and click the Archive button at the bottom of the form. The system will ask for confirmation.
  • Archived services are not visible in the regular list and cannot be added to invoices.
  • To access the archive click the Archive tab in the navigation above the list.
  • From the archive you can restore a service by clicking Activate.
  • Deleting a service (Delete button) is only possible if the service has not been used in any document.
Important: If a service has already been used on at least one invoice or quote, deletion is not possible – you can only archive it.

Tips for working with services

  • Use the Advance/Prepayment type for advance invoices – this service has special treatment during fiscalisation.
  • Use the Pass-through item type for items not subject to VAT (e.g. fees, stamps, notary costs).
  • The Variable price type is useful for services where the price is defined per invoice and discount is not automatically applied from the group.
  • For services with a recipe (e.g. cocktails, dishes) use the Product type and define the bill of materials.
  • The last modification date and time are shown below the form.
