What are suppliers?

Suppliers are business partners from whom you procure goods or materials. In the system they are used when creating goods receipts, purchase orders and other procurement documents. Each supplier has basic contact and address data.

Suppliers are part of a unified client register – the same partner can be both a customer and a supplier. The supplier flag is set on the client card.

Adding a new supplier

To add a new supplier:

  • 1. Open Warehouse > Suppliers and click New supplier
  • 2. Enter the required field Name of the company or trade
  • 3. Fill in address data: street, house number, postal code and city
  • 4. Enter the supplier's Tax ID (identification number)
  • 5. Optionally add phone and description
  • 6. Click Save
The supplier name is the only required field. Other data can be added later by editing.

Editing a supplier

To change supplier data:

  • Open the supplier list and find the desired supplier
  • Click the edit button
  • Modify the required data and save changes

Changes to supplier data do not affect already created documents – they retain the data that was current at the time of creation.

Searching and filtering

The supplier list can be searched and filtered by all columns:

  • Name – company or trade name
  • Street, City – address data
  • Tax ID – identification number
  • Phone – contact number

The list is sorted alphabetically by name and displays 50 records per page.

Connection with other documents

Suppliers are used in the following parts of the system:

  • Goods receipts – when creating a goods receipt you must select the supplier from whom goods were received
  • Purchase orders – the supplier is listed on the purchase order
  • Return notes – when returning goods to the supplier
  • Financial reports – procurement report by supplier
Deleting a supplier is only possible if there are no linked documents. Deletion requires an administrator role.

Supplier data

For each supplier the system stores the following data:

  • Name – full company name (required)
  • Street and house number – registered address
  • Postal code and city – location
  • Tax ID – tax identification number (up to 20 characters)
  • Phone – contact number
  • Description – additional notes about the supplier
  • Status – active or inactive
We recommend entering the Tax ID for every supplier for easier linking with accounting documents.
