What is Goods Receipt Preparation?
Goods Receipt Preparation (PPR) is an auxiliary warehouse document used for recording incoming goods. Unlike a regular goods receipt, the preparation does NOT affect stock levels in the warehouse.
Main advantages of goods receipt preparation:
- No impact on stock – you can freely enter and edit items without worrying about stock levels
- Incoming goods overview – see what you expect from the supplier before goods physically arrive
- Conversion to goods receipt – when goods arrive, convert the PPR into an actual goods receipt (PR) with one click
- Control – compare received goods with expected before posting
Creating a goods receipt preparation
To create a new goods receipt preparation:
- 1. In the Warehouse menu select Goods Receipt Preparation
- 2. Enter the date of expected receipt
- 3. Select a supplier from the drop-down
- 4. Optionally enter a reference (order number, delivery note or supplier invoice)
- 5. Add items – search by name, reference or barcode
- 6. For each item enter the quantity and verify prices
- 7. Click Save
Since PPR does not affect stock, you can freely change quantities and prices until you convert the document into a goods receipt.
Converting to a goods receipt
When goods physically arrive at the warehouse, the PPR is converted into an actual goods receipt:
- 1. Open the prepared PPR document
- 2. Click the Create Goods Receipt... button (green button)
- 3. The system creates a new goods receipt (PR) with all items from the PPR
- 4. You can review and edit items before final saving
- 5. After saving the goods receipt, the PPR gets status Goods Received (4)
The new goods receipt contains a reference to the original PPR document for easier tracking.
Each PPR can only be converted to a goods receipt once. If you try again the system will notify you that the goods have already been received.
Goods receipt preparation view
The PPR document view displays a table with all items:
